Guidelines for Recording Final Exam Grades:

 

  1. The course instructor prepares exam questions; alternatives may be chosen by the department council if needed, based on the recommendation of the department head.
  2. The course instructor grades the exam papers, and the department head may, if needed, involve one or more specialists in the grading process.
  3. The course instructor records and signs grades in grade sheets, which are then approved by the department head.
  4. The course instructor enters the final grades into the academic system.
  5. The course instructor is fully responsible for grade accuracy; changes require permission from the Deanship of Admissions and Registration.
  6. Approved grades are submitted to the dean of the college for endorsement and entry into the academic system.

 

Denial of Taking Final Exams:

1.  A regular student must attend lectures and practical classes according to their registered courses.

2. A student will be denied entry to the final exam by a decision from the College Council if their attendance rate is less than 75% of the total lectures, practical classes, fieldwork, and clinical sessions.

3. The instructor issues a first warning for absences exceeding 10%, and a second warning for 20%.

4. The instructor submits a report to the department head on students exceeding the absence limit, along with the dates of the missed lectures.

5. The report is approved by both the department and college councils.

6. The college offering the course notifies the student's college of the denial decision.

7. A denied student is not allowed to enter the exam room.

8. A denied student is considered failing in the course and will receive a grade of "Denial" (ح) or (DN) on their academic record.​

Procedures for Submitting an Excuse for Absence from the Final Exam:

1. Students must submit their excuse to the course instructor or department head within one week from the date of the missed exam.

2. Excuses are presented to the department and college councils for approval of a substitute exam.

3. The student's college is informed of the college council's decision.

4. Departments will prepare exam papers and schedules for the substitute exams, announced through official university channels.

5. Acceptable excuses include:

- Death of a first-degree relative.

- Childbirth and related medical conditions.

- Hospitalization.

- Accompanying a hospitalized first-degree relative (father, mother, husband, child), if no alternative is available.

- Scheduled chemotherapy or dialysis appointments.

- Fainting, coma, or seizures on the exam day.

- Serious injuries from traffic accidents or house fires on the exam day.

- Certified medical excuses or compelling circumstances accepted by the college council.

 

Procedures for Requesting Re-marking of a Final Exam Paper:

1. The student must submit a re-marking request to the head of the relevant department within two weeks of the results announcement, using Form (9).

2. The relevant department council will form a committee to review the request, and their decision is final.

3. If a grade adjustment is needed, the department will send a modification form (Form 10) to the Deanship of Admissions and Registration upon approval.

4. A student cannot request re-marking for more than two courses in one semester.

5. The Deanship of Admissions and Registration is responsible for implementing grade adjustments on the system.​
