Key Responsibilities

Follow-up and Documentation

    • Conduct historical documentation of the University's regulations, bylaws, plans, programs, projects, and administrative and procedural frameworks, in coordination with the relevant administrative units.
    • Inventory all University documents and archives, regardless of their formats, types, designs, or classification systems; establish appropriate methods for indexing, cataloguing, coding, preserving, and maintaining them; and transfer them to modern archival storage media.​

Organization

    • Propose the technical regulations, rules, and procedures governing archival activities at the University, in accordance with the Documents and Archives Law and its Implementing Regulations and follow up on their implementation upon approval.
    • Develop, update, and monitor procedural manuals governing document and archive activities at the University, in accordance with the Documents and Archives Law and its Implementing Regulations.​

Implementation

  • Participate in the administrative and technical coordination of the activities of the Standing Committee for Documents, the Appraisal Committees, the Disposal Committees, the Transfer Committees, and other University committees related to documents and archives

Collaboration

    • Coordinate and cooperate with the National Center for Archives and Records on all matters related to the implementation of the Documents and Archives Law and its Implementing Regulations, particularly those concerning the transfer and disposal of documents and archives.
    • Coordinate and cooperate with other similar centers to benefit from their expertise.

Planning

    • Propose appropriate systems and equipment for preserving the University's documents and archives using modern technologies, and oversee their operation and maintenance in coordination with the relevant departments.
    • Contribute to raising awareness of document and archive management within and outside the University through publications, guidance materials, workshops, and symposia, in coordination with the relevant entities.​

Reporting


    • Prepare periodic reports on the Center's activities, achievements, and development proposals, and submit them to the University Vice Rector.
