Graduation & Resumption of Duty
Post-Scholarship Guidelines (Conclusion & Resumption of Duty)
This regulatory guide details the mandatory academic and administrative protocols required immediately upon completion of studies: concluding the scholarship tenure, issuing official university resolutions, adhering to the statutory 30-day duty resumption window, and finalizing financial settlements and full payroll reactivation.
Scholarship Conclusion Procedures via Safeer
Governance Pathway
Tenure conclusion requests are processed electronically through integration between the Cultural Mission abroad and PNU’s academic and standing councils:
Phase 1
Safeer Request
The scholar submits a conclusion request via Safeer addressed to the Cultural Attaché, detailing the reasons and enclosing degree documentation.
Phase 2
Mission Routing
Endorsement by the Cultural Attaché and routing to PNU’s Scholarship Administration to solicit the college's feedback.
Phase 3
Council Resolutions
Deliberation by the Department Council and College Council, followed by University President endorsement of council minutes.
Phase 4
Official Decree
Standing Committee resolution, formal decree issued by the University President, Cultural Mission dispatch, and Safeer update.
Resumption of Duty & Financial Settlement
Mandatory Statutory Window:
Scholars must formally report and resume their duties at the University within a maximum of thirty (30) days from the official conclusion of their studies.
Sequential Workflow for Resumption & Full Salary Reinstatement:

Local Endorsement:
Submit the formal Resumption of Duty form to the immediate supervisor for signature, who forwards it to the Head of Department/Dean for institutional endorsement.

Graduation Verification:
The document is routed to the Scholarship Administration to verify the official issuance of the Graduation Decree / Scholarship Conclusion Decree.

HR & Financial Settlement:
Upon verification, the dossier is transferred to Personnel Affairs (Human Resources) for regulatory financial settlement.

Full Payroll Restoration:
Salary rosters are updated to disburse the full active salary, formally reinstating the employee to on-duty status.
Crucial Notice for Returning Graduates:
Please be advised that executing the duty resumption form and routing it to Personnel Affairs strictly requires the official issuance of the Scholarship Conclusion / Graduation Decree.
Graduating scholars are strongly urged to proactively submit their graduation request via Safeer and the University immediately upon completing degree requirements to prevent any delay in salary settlements.
