Termination the Scholarship

  1.  The student submits a request via Safeer to the cultural attaché in the scholarship country to terminate the scholarship, explaining the justifications for the request.
  2. The request is required to be approved by both an attaché staff member and the cultural attaché via Safeer for it to be forwarded to the university's scholarship department.
  3. Once the request is submitted to the Scholarship and Training Department, it will be forwarded to the student's reference within the university, be it a college or institute, to provide their assessment of the request.

4. The matter is presented to the department council, followed by presentation to the college council for their recommendation of approval or otherwise

5. Once the University President approves the minutes of the College Council meeting regarding the student's request, the transaction is forwarded to the university's Vice Rector for Postgraduate Studies, the Chairman of the Permanent Committee for Scholarships and Training. This transaction should include:

  • A memorandum requesting the subject's presentation to the Scholarship and Training Committee.
    • A copy of the minutes of the College Council.
    • A copy of the department council minutes.
    • A copy of the scholarship termination request on Safeer. (along with all attachments)
  1. The Scholarship Department prepares a presentation memorandum for the Permanent Committee for Scholarships and Training, which reviews the matter and provides its recommendation. If approval is recommended, the original memorandum is forwarded to the University Director to approve the minutes of the Permanent Committee for Scholarships and Training.
  2. After a decision is made approving the scholarship termination, the cultural attaché in the scholarship country is contacted to endorse the termination request, upon the approval of the University Director.
  3. The status of the request is updated via Safeer.

Getting Back to Work at the University

  • The scholarship recipients are required to commence their duties at the university within ten days of their return to the Kingdom of Saudi Arabia following the completion of their academic degree or upon the termination of their scholarship, as outlined in Article Twenty-Four of the Employee Scholarship System.
  • The joining report is submitted to the immediate supervisor for endorsement, and then forwarded to the department head for approval. After that, the report is sent to the scholarships department to confirm the graduation decision, followed by submission to the Personnel Affairs Department for the settlement of financial dues. Adjustments are made to ensure the full salary is disbursed upon commencement of work.
  • It is worth noting that to approve the joining report and forward it to the Personnel Affairs Department, a decision to terminate the scholarship is essential. Therefore, graduating scholarship recipients should proactively submit a graduation request to avoid delays in receiving their full salaries.
