Main Tasks:
-Prepare all policies, procedures, process flows, standard operating procedures, workflow tasks, and principles to be used for all changes and releases.
-Identify, assess, and review all change and release requests to determine the potential business impact, including evaluating the technical feasibility of the change, risk assessment, and estimating the required resources to prioritize the changes.
-Review and improve processes, and create a detailed plan to implement each change or release.
-Monitor changes, report on them, and prepare reports on the status of changes.
-Manage stakeholder communication regarding upcoming changes and releases, including setting expectations, providing information on the benefits and risks of changes, and responding to their feedback and concerns.
-Identify and manage conflicts between different changes or releases, including coordinating with departments or vendors, assessing the impact on related systems, and adjusting schedules or priorities as needed.
-Manage the documentation, storage, and updates for all changes and releases, including documenting the technical details of changes, the approval and implementation process, or lessons learned.
-Regularly audit to ensure changes and releases comply with regulatory requirements, internal policies, and industry standards.
-Manage release packages, which contain all the changes being released together, including identifying the changes to be included, testing the entire release package, and ensuring all changes in the package are released at the same time.
-Manage change requests from stakeholders, including reviewing requests for completeness and accuracy, prioritizing them based on impact, and communicating the status of their requests.
-Manage change freeze periods, including notifying stakeholders, reviewing any change requests that come in during the freeze, and rescheduling any planned changes that fall within the freeze period.
Develop plans for rollback and reversal of changes if they cause problems or have unexpected consequences, test these plans, and communicate them to stakeholders, ensuring the plans are effective and can be executed quickly if needed.
-Conduct post-implementation reviews to evaluate the success of changes and releases. This includes analyzing the results of the changes, identifying any issues or opportunities for improvement, and communicating the findings to stakeholders.
-Manage the Service Level Agreements (SLAs) associated with changes and releases, including defining the SLAs, monitoring compliance with the SLAs, and taking corrective actions when they are not met.
-Conduct risk assessments to identify potential risks associated with changes and releases, develop risk mitigation strategies, and communicate the risks to stakeholders.
-Manage the release deployment process, including coordinating with teams or vendors, preparing the release package, deploying it, and verifying the release is working as expected.
-Manage the Change Advisory Board (CAB), including selecting members, defining roles and responsibilities, and ensuring its effectiveness.
-Manage the tools and software used to support the change and release management processes. This includes selecting and implementing the appropriate tools, ensuring the tools are up-to-date and functional, and providing training and support to tool users.
-Ensure all changes and releases are compliant with the university's change and release management policies.
-Measure key performance indicators for change and release management processes (number of changes and releases, success rate, and time to implement) and use these metrics to drive continuous improvement and report to stakeholders.
-Review release readiness to ensure it is ready for deployment, including evaluating the completeness of the release package, testing the release package, and verifying all core release requirements are met.
-Assess the potential impact of changes on the system and on stakeholders. This includes identifying potential impacts, evaluating the severity of the impacts, and developing mitigation strategies.
